Resident Actions

The "Resident Actions" page is the command center for taking actions on a resident.

Note

The capability of the search and filtering options with our tables can be seen in the Table Functionality section of the Getting Started section of this guide.

Step 1

Find the "Resident Search" link in the side navigation.

Step 2

Find the resident you are looking for, and click on their row.

Step 3

You are now at the Resident Actions page!

Resident Options

At the top of every resident page is a row of commands.

Click on any of the links to learn more:

Add Work Order: Quickly add a work order to the unit by using this link.

Email Password Reset: Using this link will send the primary resident an email including a password reset link.

Transfer Units: This link will allow you to transfer all residents into a new unit. Doing this will also generate a new lease.

View Ledger: This link will take you to the ledger for the unit.

Send Email: This link will take you to the email draft page. From there you will be able to send emails to the primary resident.

Edit Resident: This allows you to make any needed changes to the primary resident.

Make Primary Resident: Changes the current resident into the primary resident.

Edit Lease: This allows you to make any needed changes to the current active lease.

Resident Actions Page

To edit the primary resident's information, click the Edit Resident button located at the top of the page.

To add or edit emergency contacts, children, vehicles, or pets open the "Personal Information" by clicking or tapping on it.

Adding Information

To add a new emergency contact, child, vehicle, or pet simply click the header on the corresponding header as pictured below

NOTE: If there are no icons next to the header, it means you do not have permission to add this data. Please contact an administrator if you believe this is an error. Learn more about Permissions.

Clicking on any of the plus icons ( ) will display a form where you can add the child, emergency contact, vehicle, or pet.

Editing Information

To edit the primary resident's information, click the Edit Resident button located at the top of the page.

To edit a child, emergency contact, vehicle, or pet, simply click on the gear in the options column.

Clicking the gear will bring up an options menu. From here, select "Edit".

After you've selected edit, a pop-up will show up allowing you to make any needed changes. Submit your edit changes by pressing the "Edit" button.

NOTE: The edit process is identical for children, emergency contacts, vehicles, and pets.

Step 1

To add a resident file, first click the "Resident Files" tab.

NOTE: All file uploads will be visible to the resident.

Step 2

Click on the "Choose file" button to select a file that you would like to upload.

Step 3

After you have chosen your file, click "Upload" to upload your files to the system.

Adding A Work Order

To add a work order, click the Add Work Order button located at the top of the page.

A form will pop-up with information regarding creating a new work order. Click "Create Work Order" to submit your work order.

NOTE: The "Item" field is based on which category is currently selected. Learn more about Work Order Categories.

Viewing An Open Work Order

Step 1

Click on the "Open Work Orders" tab.

Step 2

Click on the row of the work order you want to view. You will be taken to the work order page for this item.

To create a notification, first click on the "Notifications" tab .

Click the "Create Notification" button.

A pop up will appear allowing you to enter your notification text. You can also send the notification as an email by checking off the "Send Email Of Notification" field.

To create add rental assistance, first click on the "Rental Assistance" tab.

Click the "Add Assistance" button.

A pop up will appear allowing you to enter your rental assistance information.

To generate a final account statement, first navigate to the details page for the user you are looking for.

Once you are on the details page, find the link "Generate Final Account Statement" found at the top of the page.

NOTE: You can only generate a final account statement for residents who have moved out.

Step 1

Navigate to the resident whose lease you want to renew.

Click on the "Lease Information" tab

Note: If the "Lease Information" tab is red, it means that the resident's lease needs to be renewed.

Step 2

Select the "Renew Lease" button located at the bottom of the "Lease Information" tab..

Step 3

Here is where you will enter information regarding their new lease.

The Choose New Unit field and Lease Price fields are auto-populated with their current unit and lease price information. Both of these fields can be edited. You will need to enter their new Lease Start and Lease End information.

Once you have entered that information, press "Proceed to Step 2"

Step 4

This screen will allow you to generate TIC's, and review the new lease information.

Once you have reviewed and confirmed all the information is accurate, click "Renew Lease For Unit"

Once you have renewed a lease, you will be redirected to the resident actions page.

Step 1

Navigate to the resident you wish to transfer.

Select "Transfer Units" from the top menu

Step 2

Choose the new unit that the resident will be transferred to.

A new lease will be generated after transfer. Enter in the new lease start and end date.

Click on "Change Unit" to transfer the resident.

NOTE: All residents in this unit will be transferred.

Step 1

To delete a resident file, first click the "Resident Files" tab.

NOTE: All file uploads will be visible to the resident.

Step 2

Click on the cog icon ( ) in the delete column

A confirmation pop-up will appear. Confirm your deletion by clicking "Yes, Delete"

NOTE: This action is not reversible.

Step 1

To make a resident a primary resident, click the "Make Primary Resident" link located at the top of the page.

A confirmation pop-up will appear. Press "Make Primary" to make your resident the primary.

Step 1

To rest a resident password, simply click the "Email Password Reset" located at the top of a residents action page

Instructions on how to reset their password will immediately be emailed to the resident.

Step 1

Navigate to the resident whose lease you want to edit.

Click on the button "Edit Lease" found at the top of the page.

Note: You must have the permission to alter resident leases for this option to appear.

Step 2

From the lease edit page, you will be able to make the following changes:

  • Price
  • Officer Credit
  • Employee Credit
  • Lease Start
  • Lese End

NOTE: the "Price", "Officer Credit", and "Employee Credit" added together should equate to the total amount for the Lease. (E.G. For example, if Officer Credit is $100 and the normal Lease is $1,000 the total for the Lease would change to $900 and the Officer Credit would stay at $100 equating to $1,000 for the total amount. This allows Transaction Codes to be settled accurately while the discounts are applied automatically.)

Once you have made your edits, click "Update Lease" to submit your changes.

Step 1

Click Send Email found located at the top of the page.

Step 2

Enter the contents of your email in the textbox.

Once you have finished drafting your email, select "Send Email"

Navigate to the resident who you want to vacate.

Click on the button "Vacate Resident" found at the top of the page.

This button will only appear if you have the permission to vacate residents.

Step 2

After you click the button, you will be asked to confirm your decision. Click "Yes, Vacate Resident" to vacate the resident from their unit.

This is a permanent action and cannot be undone. Do not vacate a single resident unless you are absolutely sure you want to remove a single resident from a unit. Primary Residents cannot be vacated.

Step 1

Navigate to the resident who you want to generate a notice for.

Click on the button "Generate Recertification Notice" found at the top of the page.

You can also find the "Generate Recertification Notice" button in the Lease Information section.

Step 2

A modal will appear allowing you to choose between 30, 60, 90, and 120 day notices. Depending on your permissions, you will be able to write in the lease rent price for the generated documents.
